Through mentoring programs, leadership training and individualized support, Vital Voices provides credibility, builds capacity, and enhances connections for emerging and established women leaders internationally.

Summary:

The HR Specialist – Recruiting and DEI supports the coordination and implementation of events, activities, and training in support of embedding diversity, inclusion, and cultural competency into the organization’s day-to-day operations, including the training, hiring, onboarding, retention,  and ongoing education. Additionally, the specialist will serve as a human resources thought leader across the organization to ensure our practices are reflective of best practices and emerging trends. This position is based in Washington, DC (though it is currently remote during the global pandemic) and reports to the Director of Human Resources.

Diversity, Equity and Inclusion  

  • Work closely with the HR Director to assess and build policies, processes, and programs to support the overall HR and people strategy and to help deliver on our DEI aspirations to find, grow and keep diverse talent. 
  • Support the DEI culture sub-hub to promote diversity & inclusion within the organization (mentoring initiatives, inclusion-focused training, heritage month celebrations, diversity speaker series, etc.).
  • Keep current on DEI developments, opportunities, and metrics/trends outside of Vital Voices and use that knowledge to fine-tune our DEI goals and direction. Work with outside organizations (e.g., universities, associations, advocacy groups) to research and implement custom and effective DEI initiatives. 
  • Partner with the vital voices communications to regularly communicate DEI initiatives, so staff are aware of ongoing programs and progress. 
  • Support relationships with relevant DEI partnerships, organizations, events, and vendors. 

Recruitment  

  • Attend and participate in job fairs, open houses, and website recruitment 
  •  Schedule, coordinate, and conduct initial interviews for junior and mid-level roles within Vital Voices.
  • Manage logistics for interview days, including preparation of interview materials and coordination with junior staff  
  • Screen candidates to evaluate qualifications or eligibility based on minimum role requirements
  •  Attend and participate in job fairs, open houses, and website recruitment
  • Create and revise job announcements in collaboration with hiring manager for organization; post positions and ensure that postings are up-to-date
  •  Identify opportunities for outreach and represent and promote Vital Voices through external events,  tours, and other opportunities 
  • Work with Finance and Admin Team to ensure a seamless onboarding process for new hires 

Human Resources Operations 

  •  Serve as a system administrator for transactional requests in Paylocity Vital Voices’ Human Resource Information System (HRIS) 
  • Maintain all personnel files in compliance with federal, state, and audit guidelines 
  •  Ensure all New Hire Onboarding items are recorded in employee files. New hire items include 403B election, background checks, I9, TB test, tax information, direct deposit 
  •   Maintain all New Hire Onboarding spreadsheets in accordance with department policy
  • Execute bi-weekly payroll process with finance and administration team
  • Support Quarterly/Yearly analytical report of staff demographics and trends  
  •  Support monthly benefits reconciliations  
  • Own Yearly personnel file audits and ensuring all files are up-to-date  

Benefits Administration and Coordination 

  • Co-manage enrollment and renew employees in benefits programs
  •  Reconcile benefits statements and process payments to benefits providers 
  • Research and provide information on federal and state laws, including leave, FMLA, FLSA, ADA, and ACA 
  • Send Broker 403b monthly updates including information on Term and New Hires  

Employee Relations 

  • Support exit interviews and off-boarding practices, as needed 
  •  Track and process feedback evaluations and offer letters 
  •  Complete verification of employment requests for current and former employees 

Qualifications:

  •  Bachelor’s degree from a four-year college or university or similar work experience required
  •  3+ years of experience in progressively responsible human resource roles
  • 2+ years in Diversity, Equity & Inclusion facilitation
  •   Exceptional organizational and time-management skills
  • Outstanding communication and interpersonal skills
  •  Aptitude for critical thinking, problem-solving, and decision making
  • Demonstrated commitment to diversity, equity and inclusion
  •  PHR/SPHR certification preferred
